These rules apply to all individuals, teams, organizations, instructors, and other groups renting ice or facility space at Regency Sportsrink. The person completing the reservation is considered the “Renter” and is responsible for ensuring that all participants, guests, coaches, spectators, and vendors comply with these rules.
Private Rentals
Private rentals are intended for the Renter and invited participants only.
- The Renter must designate a responsible adult who will remain on-site throughout the rental and serve as the primary contact for rink personnel.
- The Renter must clearly explain all applicable rules to participants and guests before the activity begins.
- A private rental does not provide exclusive access to the entire facility. Other programs, customers, employees, and spectators may be present in common areas.
- Admission fees may not be charged, and invitations or rental access may not be sold or transferred, without prior written approval from Regency Sportsink.
- The rental may be used only for the activity disclosed when the reservation was made. Hockey games, scrimmages, lessons, camps, clinics, parties, filming, and commercial activities must be identified and approved in advance.
- The Renter is responsible for providing qualified coaches, referees, instructors, medical personnel, or other supervision appropriate for the activity if necessary. Rink employees do not automatically provide supervision or instruction.
- Decorations, tables, entertainment, vendors, and special equipment require prior approval. Nothing may be attached to walls, glass, doors, benches, boards, or other rink surfaces without permission.
- Private rentals may not interfere with other scheduled activities or block entrances, exits, hallways, locker rooms, or emergency-access areas.
- The Renter must ensure that every participant—or the participant’s parent or legal guardian if the participant is a minor—has reviewed and accepted the applicable assumption-of-risk, release, and Hold Harmless terms.
General Rental Rules
- Reservation and Payment
A rental is not confirmed until Regency Ice Rink has approved the reservation and received any required deposit or payment. All remaining balances must be paid according to the terms provided with the rental confirmation. - Rental Time
The rental period includes all setup, on-ice activity, cleanup, and departure time. Renters may not enter the ice before their scheduled start time and must leave the ice promptly when the rental period ends. - Ice Resurfacing
Ice-resurfacing time may be included within the reserved rental period. Renters and participants must remain off the ice while the resurfacing equipment is operating and may enter only after rink personnel have closed the appropriate doors and authorized access. - Supervision
The Renter is responsible for the conduct and supervision of all participants and guests. Minors must be supervised by a responsible adult at all times. - Protective Equipment
All participants are encouraged to wear protective equipment appropriate for the scheduled activity. Helmets are strongly recommended for all skating activities and may be required based on the nature of the rental. - Safe Conduct
Fighting, reckless behavior, horseplay, intentional body contact outside an approved hockey activity, and conduct that may endanger another person are prohibited. Regency Ice Rink personnel may remove any individual whose behavior is unsafe, disruptive, abusive, or damaging to the facility. - Alcohol, Tobacco, and Controlled Substances
Alcohol may not be brought onto or consumed on rink property without prior written approval. Smoking, vaping, illegal drugs, and participation while impaired are prohibited. - Food and Beverages
Food and beverages are permitted only in designated areas. The Renter is responsible for removing all decorations, food, equipment, and trash associated with the rental. - Facility and Equipment
Participants must follow all posted signs and instructions from rink personnel. No person may operate rink equipment, enter restricted areas, adjust facility controls, or move rink property without authorization. - Damage and Cleaning
The Renter is financially responsible for damage, excessive cleaning, missing property, or other costs caused by the Renter’s participants, guests, vendors, or activities. - Locker Rooms
Locker rooms must be left clean and undamaged. Regency Sportsrink is not responsible for lost, stolen, or unattended personal property. - Attendance and Capacity
Attendance may not exceed the facility’s permitted capacity. Regency Sportsrink may limit the number of skaters or guests when necessary for safety or facility operations. - Coaches and Instructors
Coaches, trainers, and instructors must possess any qualifications, certifications, memberships, or insurance required for the activity. Regency Sportsrink may request proof before the rental. - Commercial Activity
Coaching for compensation, camps, clinics, tournaments, ticketed events, merchandise sales, fundraising, advertising, photography services, and other commercial activities require prior written approval. - LiveBarn and Recording
Activities inside the rink may be visible or recorded through LiveBarn or other facility video systems. The Renter is responsible for informing participants and obtaining any permissions required for participation. - Cancellations and Refunds
Cancellations, credits, rescheduling, and refunds are subject to rink approval. Failure to attend does not automatically entitle the Renter to a refund or credit. - Facility Closure
Regency Sportsrink may cancel or modify a rental because of unsafe conditions, equipment failure, weather, emergencies, or circumstances beyond its reasonable control. When appropriate, the rink may offer a rescheduled rental or credit. - Right to Refuse or End a Rental
Regency Sportsrink reserves the right to refuse, suspend, or end a rental when these rules are violated or when continued activity presents a safety, legal, or operational concern. A rental ended because of misconduct or rule violations may not be eligible for a refund.
Assumption of Risk, Release, and Hold Harmless Agreement
I understand that ice skating, hockey, training, recreational activities, and attendance at an ice rink involve inherent and other risks. These risks include, but are not limited to, falls; collisions with people, boards, glass, goals, equipment, or other objects; cuts from skate blades; injuries caused by pucks or sticks; equipment failure; changing ice conditions; acts or omissions of other participants; and serious bodily injury, illness, permanent disability, paralysis, or death.
I knowingly and voluntarily assume all risks associated with my participation, attendance, use of the facility, and presence on the premises, whether those risks are known or unknown and whether arising from the activity itself or the ordinary negligence of a released party, to the fullest extent permitted by law.
In consideration for being permitted to enter and use Regency Sportsrink and participate in activities conducted there, I, on behalf of myself and, when applicable, my participating minor child, heirs, representatives, estate, and assigns, release and discharge Regency Sportsrink, its owner, operators, affiliated organizations, employees, coaches, instructors, volunteers, contractors, sponsors, and representatives from claims, demands, liabilities, damages, losses, or expenses arising from or related to participation, attendance, or use of the facility, except to the extent that such a release is prohibited by law.
I further agree to defend, indemnify, and hold harmless the released parties from claims, liabilities, damages, costs, and reasonable legal expenses resulting from:
- My actions or omissions;
- The actions or omissions of my minor child, participants, guests, employees, contractors, or vendors;
- A violation of these rental rules;
- Damage to the facility or property; or
- The activities conducted as part of the rental.
I understand that Regency Sportsrink does not guarantee the safety or security of any participant, guest, vehicle, equipment, or personal property.
If I am signing on behalf of an organization, team, or rental group, I represent that I am authorized to accept these terms on its behalf. I accept responsibility for communicating these rules and risk disclosures to all participants and guests. Individual participants may also be required to complete separate waivers.
If I am the parent or legal guardian of a participating minor, I give permission for the minor to participate, acknowledge the risks on the minor’s behalf, and agree to the terms above to the fullest extent permitted by law.
Acceptance
By submitting a reservation, making payment, entering the facility, or participating in the rental, the Renter acknowledges that the Renter has read, understands, and agrees to these Rental Rules and the Assumption of Risk, Release, and Hold Harmless Agreement.
